Recent Visitor Changes - Desktop

Multiple updates have been made to the Visitor module, including the ability to remove multiple visitor records at once, filter by additional fields, and send host notifications to additional employees. Refer to the following list for more information about each new feature.

  • Remove multiple visitors at once. You can now remove multiple visitor records at once on the Queue screen. To remove more than one visitor, select the check box to the left of each record to delete and click the new Delete X Registrations button. Alternatively, you can select the check box at the top left of the screen to select all displayed visitors if you need to clear the entire queue. Once you have verified the correct visitors are selected, click the Delete All button. The Delete Registrations window displays, where you can enter a reason for the deletion prior to clicking the Delete button to complete the removal process.

    Note: The name of the Delete All button varies based on the number of visitors selected.

    This feature allows you to easily delete multiple visitor records at one time, increasing efficiency when updating the visitor queue, such as after a group cancelation or at the end of the day to remove visitor no-shows.

  • Filter based on additional fields. You can now search for visitor records using information in any visitor column. For example, you can now locate a record by searching for the visitor's phone number.

    This feature improves the search functionality, allowing you to locate specific records more efficiently.
     
  • CC field for check-in alerts. You can now copy additional employees on visitor arrival emails using the new Visitor Check-in Alert CCs field on the Visitor Preferences screen. This new option can help you alert additional parties to visitor manage visitor arrivals in situations where the host is not available to receive the visitor. For example, you could use a shared inbox that is monitored by employees in the lobby. The employees can then use the information to identify visitors and keep them updated on the host's status or alert them to any changes.

    To send check-in alerts to additional email addresses, simply enter the email addresses in the new Visitor Check-in Alert CCs field.

    Note: The Preferences screen is accessed by selecting Admin → Visitor → Preferences from the sidebar menu.

These enhancements will be rolled out to customers over the next two weeks.
