Book a personal space for a colleague or a visitor, from the web app

Your organization must enable the option to book for someone else. Learn more: Global settings for personal spaces

Open the booking form from either the Book a personal space page or the Booking grid and select the date you want to book for your colleague.
After selecting the date you want to book on the booking form, tick Booking for someone else? from under the calendar.
Click [Search] to the right of the First name field to open the User Lookup pop-up window. The name and company fields on the left of the booking form are intentionally disabled when adding internal colleagues.
User Lookup: Enter your colleague’s last and/or first name in the relevant boxes and click Search. Select your colleague’s name from the results list and click Select.
The User Lookup window closes and your colleague’s name is displayed on the booking form.
If required, tick to be notified by phone or email when the person arrives.
Click Search to find an available personal space for your colleague.

Tick Is external and then enter the visitor’s details in the fields above. The name and company fields are disabled until 'Is external' is ticked.
Optional: Tick the option to be notified by phone or email when the person arrives.
Click Search at the bottom of the page to find an available personal space for your visitor.
