Categories - Screen Overviews

The following screens and sections are used to create and manage categories in the Space module:

Categories Search Screen

The Categories Search screen is used to locate the category you want to update or to create a new category. Use the following path to access this screen: Admin → Space → Categories.

To view and existing category, enter search criteria in the Search Categories field and press the ENTER key. Then click the category name displayed in the results list to access the Category screen. To create a new category, click the Create Category button. The New Category Info section displays, where information for the new category can be entered and the category can be created.

Field Descriptions

Refer to the following table for an explanation of the fields and buttons available on the Categories Search screen.

Field

Description

Create Category

This button is used to create a new category.

Search Categories

This field is used to search for a category. Simply enter all or a portion of the category name in this field to display matching categories in the results list.

Color icon

This icon displays the color assigned to the category. The first letter of the category name also displays.

Category Name

This field displays the name of the category.

Category Code

This field displays the code assigned to the category. 

 


Category Screen

When you first select a category on the Categories Search screen, the Category screen displays. This screen provides you with a high-level overview of the category, including the category name, code, color, and the depths associated with the category.

The Category screen is divided into multiple sections, allowing you to easily add new items and depths, or update existing items and depths associated with your categories. In the Header section (1), multiple buttons are available allowing you to save changes, remove categories, or return to the Category Search screen. Using the Items section (2), you can easily search for items, add new items, or drill down to the item level.  At the top level of the Category screen, information for the category can be defined in the Category Info section (3). In the Depths section (4), you can add depths for each level within your category structure or edit existing depths.

 

When you click an item in the Items section (2), information for the item displays on screen, including any users or rooms associated with the item.

When you drill down to the item level, breadcrumbs display under the category title to help you visualize your position within the overall hierarchy. Information for the displayed item can be viewed or defined in the Item Info section (5). In addition, the users and rooms assigned to the item display in the Users section (6) and the Rooms section (7), respectively. To locate a specific user or room, enter search criteria in the corresponding search field.

Header Section (1)

Field

Description

Category Title

The name of the category displays in the upper left portion of the Category screen. When an item level is displayed, the name of the item displays to the right of the category name. In addition, a breadcrumb trail displays beneath the title, allowing you to quickly locate your position within the category structure.

Back to All Categories

The Back to All Categories button is used to return the the Categories Search screen, where you can locate and select a different category.

Save / Saved

The Save button is used to save the changes you make to a category. Once all your changes are saved, this button displays as Saved, and is unavailable until you make additional changes to the category.

Remove Category/Item

This button is used to remove the displayed category or item.

Items Section (2)

Field

Description

Search Item

This field is used to search for an item associated with the category. Simply enter all or a portion of the item name in this field to display matching items in the results list.

Add New Item

This button is used to add a new item to the displayed category.

Color icon

This icon displays the color assigned to the category items. The first letter of the item name also displays.

Item Name

This field displays the name of the item.

Item Code

This field displays the code assigned to the item. 

Category Info Section (3)

Field

Description

Name

This field displays the name of the category. 

Code

This field displays the code assigned to the category. 

Color

This field displays the color assigned to the category. Click the color to display the Color Selection window, where a new color can be selected and assigned to the category.

Depths Section (4)

Field

Description

Name

This column displays the name of the depth.

Code

This column displays the code assigned to the depth.

Level

This column displays the level of the depth.

Actions

This column displays the actions available for each depth. Click the corresponding Edit button to adjust the name or code entered for the depth. When you've made the necessary changes, click the Save button to save the changes. If you need to remove an outdated or unnecessary depth, click the corresponding Remove button. A message window displays allowing you to verify your deletion. Click Remove on this message window to delete the item. 

Add New

This button is used to add a new depth. When you click this button, blank Name and Code fields display. Enter the information for the depth and press the Save button. 

Item Info Section (5)

Field

Description

Name

This column displays the name of the depth.

Code

This column displays the code assigned to the depth.

Color

This is the color assigned to your category. You can specify this when you create or edit your category.

Parent

This field displays the "parent" level for the item, meaning the item or category directly above the item in the heirarchy. 

Depth

This field displays the depth of the item, as defined in the Depths section for the category.

Users Section (6)

Column

Description

Name

This column displays the name of the user assigned to the item.

Job Title

This column displays the job title for the corresponding user.

Room

This column displays the room assigned to the corresponding user.

Edit

Click this button to access the User Maintenance screen, where user information can be updated.

Space Pinger

Click this button to get a visual representation of the user's assigned room. The Space Management window displays, and the user's room assignment is "pinged" for easy identification. 

 

Rooms Section (7)

Column

Description

Name

This column displays the name of the room assigned to the item.

Floor

This column displays the floor where the corresponding room is located.

Building

This column displays the building in which the corresponding room is located.

SqFt

This column displays the square footage listed for the corresponding room.
