User Rights By Title

Each iOffice module contains a variety of permission levels that allow you to perform your role. For your convenience, we have detailed them below:

Global Site Administration

Only user level with full-site access, rights and administration privileges within the complete iOffice Integrated Workplace Management System (includes all Site Centers).

Center Administration

User level designation granted by Global Site Admin for users with specific Center administration privileges. Privileges include control of user access, center configurations, work flow processes, and module reporting. There can be multiple center administrators and multiple centers.

Manager

Maintain full access to reporting. Managers can submit requests and monitor the status of their jobs, and view overall activity in the center in which they are assigned. Managers can update their individual requests, but cannot make changes to the center functionality or users. 

Space & Move
  • View floors only

  • Request reports

  • Create and view scenarios

  • Cannot make changes permanent

Asset 
  • View inventory

  • Request reports

Mail
  • View Receiving and Shipping queues

  • Add, edit, and remove package alerts

  • Search mail items

  • Request reports

Reservations
  • View all reservations

Operators

User level assigned to receive, process, track, and fulfill requests. The Operator can access all operational functionality related to completing specific requests and Global Site Administrator's can grant additional center administration rights via Module Admin Preferences, but by default, this user level has no rights to dictate functionality or work-flow processes as configured within Customer modules. Module users at this level are granted additional center permissions as listed:

Space and Move
  • View and Edit Floor Plan Information

  • Request Reports

  • View, Generate, Update, and Archive Move Requests

Service Request
  • Full Request Queue Visibility

  • Designate Number of Operators Required to Complete Request

  • Add & Remove Assigned Operators Within a Service Request

  • Generate, Assign, Accept, Start, Hold, Comment on Status, Update, & Complete Service Requests (Archive Action by Global Site, Center Administrator unless Auto Archive Module preference setting has been configured)

  • Able to generate, edit, & update Scheduled Tasks upon Global Site / Center Administrator selection of Module Admin Preference setting

Service Request Operator with Vendor Operator Designation
  • Request Queue Visibility limited to only those Requests Assigned to Vendor Operator User

  • Designate Number of Operators Required to Complete Request

  • Add & Remove assigned Operators within a Service Request

  • Generate, Assign, Accept, Start, Hold, Comment on Status, Update, & Complete Service Requests (Archive action by Global Site / Center Administrator unless Auto Archive Module preference setting has been configured

  • Only able to generate, edit, & update Scheduled Tasks upon Global Site / Center Administrator selection of Module Admin Preference setting

Asset
  • View and Edit Asset Inventory

  • Add and Remove Asset Inventory

  • Request standard and custom reports 

Mail
  • Check packages in and out

  • View Receiving and Shipping queues

  • Print receiving and shipping manifests

  • Maintain miscellaneous volumes

  • Process mail delivery pickups

  • Add, edit, and remove package alerts

  • Search mail items

  • Request standard reports

Reservations
  • Add, edit, and remove all reservations

Customer

Default Access for all (New and Existing) Users unless otherwise specified by Global Site / Center Administrator - Customers have the ability to submit job requests, monitor their individual job requests, search the history of their job requests and view information regarding system utilization.
 

Module Users at this level have center functionality as listed:

Space and Move
  • View only access to Space Module Floor Plans

  • Generate & Submit Move Requests for Self and Others

  • View and Edit Self-Initiated Move Requests

Service Request
  • Generate & Submit Service Requests for self and others

  • View & Comment on Status of Service Request when self is designated as Primary Contact of the Service Request

Asset
  • Asset Inventory Visibility

  • Space Manager Asset display, as designated by Global Site / Center Administrator, within Space Module Floor Plans

Mail
  • Check In interoffice and outbound packages

  • Print labels for interoffice and outbound packages

  • View own interoffice and outbound packages

  • Search for own interoffice and outbound packages

Reservations
  • Add, edit and remove own reservations

  • View own reservations including reservation details

  • View other reservations but not reservation details
