File Room

iOffice’s File Room Module is designed to record the chain of custody of physical items (such as files and documents). This module allows users to manage the availability and distribution of items from a centralized center. Users can submit online requests to check items in and out of the system.

 

Note: Although the module is called File Tracking, we refer to it as File Room.

 

An overview of the File Room module is provided in the video below.

 

 

The following sections are available in the File Room module. 

Desktop

The desktop section contains links to all of the functions of the module listed below. 

Quick Process

Allows users to scan a barcode file number, or input the file number for quick check-in or check-out. 

Check Out

Allows users to check files out. 

Check In

Allows users to check in files. 

Add Files

Adds files to the Active File List for tracking of check-ins and check-outs.

File List

Shows a list of all active files available for tracking of check-in and check-out.

Manifest

Manual manifest for closing files as delivered.

Archived List

Shows a list of files that were once active, but are now archived and unavailable for check-out. 

Move Locations

Allows users to assign files from one location to another.

Archive

Scan or input file number for file archive.

Reports

Run reports for the module.

Administrative Functions
