Editing a Room from a Floor Plan

Space Manager administrators are able to perform a variety of edits to a floor plan. Some of the more common ones are detailed below.

 

  • Designating a Room Type

  • Designating Room Capacities

  • Adding Room Descriptions

  • Adding Cost Center Assignments

  • Occupant Data Modifications

  • Moving an Occupant

  • Designating a Room as Reservable

  • Adding Room Photos

  • Adding Reservations Text

 

Designating a Room Type

In order to designate a room type, perform the following steps:

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens.

  1. Click the Edit Room button. The Edit Room screen opens.

  1. Click the Type field and select the type of room you want from the list of drop-down options.

  1. Click the OK button to confirm your selection. Your room type has been updated. 

Designating Room Capacities

In order to designate a room capacity, perform the following steps:

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the Edit Room button. The Edit Room screen opens.

  3. Click the Capacity field and enter the maximum capacity of the room. 

  4. Click the OK button to confirm your selection. Your room capacity has been updated. 

 

Adding Room Descriptions

In order to add room descriptions to a specific room, perform the following steps:

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the Edit Room button. The Edit Room screen opens.

  3. Click the Description field and enter the room description information. 

  4. Click the OK button to confirm your selection. Your room description has been updated. 

 

Adding Cost Center Assignments

In order to add cost center assignments, perform the following steps: 

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the Edit Room button. The Edit Room screen opens.

  3. Click the Cost Centers tab.

  1. Enter the cost center in the Cost Center field. If you are uncertain of your cost center, you can start entering it and the LiveSearch will offer suggestions.

  1. Once you have found your cost center, click it, then click the OK button to confirm the change. The cost center has been added to the room.

Occupant Data Modifications

If you would like to change occupant data for a selected room, perform the following steps: 

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the name of the employee assigned to the room. A menu opens that allows you to perform additional functions (including performing a move request and editing the assignee).

  1. Click the Edit button. 

Moving an Occupant

If you would like to move an employee from one room to another, perform the following steps: 

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the name of the employee assigned to the room. A menu opens that allows you to perform additional functions (including performing a move request and editing the assignee). 

  3. Click the Move button. You can then manually select the room to move the current occupant.

  1. Once you are done creating your move request, click the Done button. 

  2. You can verify your move request was successfully completed by clicking the Moves icon (). The Moves Request Queue opens.

Note: If you would like to edit the move request, click the Edit button. If you would prefer to remove the request, click the Remove button. 

Designating a Room as Reservable

You may designate a room as being reservable, but there are a few things you should keep in mind:

  • Reservable spaces should be non-occupiable space types.

  • In rare instances where an occupiable room type is also designated as reservable. Reservable capacity must equal occupant capacity setting for the occupiable room type.

 

In order to designate a room as reservable, perform the following steps:

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the Edit Room button. The Edit Room screen opens.

  3. Click the Reservable checkbox. 

  4. Enter a Reservation Description. This is an optional step and would be what users would see when they attempt to reserve the room.

  1. Click the OK button to save your changes. The selected room is now reservable. 

 

Adding Room Photos

While editing a floor plan, you can upload a picture of any room you edit by performing the following steps:

 

  1. Once you have opened your selected building/floor in Space Manager, click the specific room you want to edit. A Room Summary screen opens. 

  2. Click the Edit Room button. The Edit Room screen opens.

  3. Click the Attachments tab.

  1. Click the Upload button. You can then select the image you want to upload for your selected room.

Note: Click the Remove button to remove the image you had previously uploaded. Click Download if you would like to download the current image.

 

  1. Click OK. The image for your selected room is updated.

Adding Reservation Text

Once you make a room reservable, you can enter specific reservation text in the Edit Room screen. This is also detailed in the Designating a Room as Reservable procedure above.
