Using the Google Chrome Teem Calendar Extension

With the Chrome Extension for Google Calendars, employees can book rooms based on availability, capacity, location, and amenities. This calendar also offers a drop-down menu that lives in your browser menu that can be accessed at any time to help you stay on top of your meetings.

First Time Launch and Plugin Defaults

  1. Open your Google calendar and create a new event. 
  2. Click "More Options" to see meeting details. On the right side of the screen you'll see the Teem icon. Click on the icon to open the plugin.

3. Click on the Settings icon to the right of the screen.

4. Set your preferred office location. These are the Buildings, Floors, and Rooms you most commonly use. This location preference will also be the default when using the drop down feature of the Teem Extension. 

5. Toggle "on" the Auto Launch feature. This will make sure that the Teem Plugin will auto open each time you create an event, making adding an event just one click away.

Book a Room

After you have launched the Plugin and set your preferences, you’re ready to book a space for your meetings.

  1. Access your Google calendar and create a new event.
  2. Click "More Options" to open event details. If you have the "Auto Launch" setting enabled, the plugin will automatically open. If not, click on the blue Teem icon to the right of the meeting details screen.
  3. Teem will display the available resources for the time frame specified in the appointment window. As you adjust that time, the plugin will refresh to find space availability. 
  4. Use the filter options or search tool to find a space that meets your needs. Click on the space. A window with space details will appear. If this is the space you want to use, just click "Add to Event".

5. The space will show up in the "Added to Event" section as well as in the meeting invite under guests. When you save the meeting, the space will receive an invite to join the meeting and it will block off time on that space's reservation calendar. 

6. If you’d like to utilize additional filters to find spaces that better fit your needs, you can click the filter icon near the top of the Spaces tab. This will allow you to adjust your default location (My Office), add a room capacity filter, and sort by room amenities like an Apple TV or a projector.

Quick Booking

When you install the Teem Chrome Extension you will see a small Teem Logo in your plugins bar of Chrome clipboard_e7bf557d1d1882c8ea76b014de735b6d8.png. When you click on this, it will display a drop down with spaces that are available for the next 30 min or 1 hr. This will allow you to quickly select a space and create a reservation. Here's how:

  1. Make sure you've pinned the Teem extension to your Chrome browser (see the install instructions for Google Chrome.)
  2. Click on the Teem icon in the top right of your Chrome browser. 
  3. Scroll through the spaces displayed or use the search field to search for other buildings or floors. Selecting a new building will then show available spaces for that location.
  4. Click 30 min or 1 hr. When you do this, the extension will automatically open a Google event for the next 30 min or 1 hr, with the space added.
  5. Add a meeting title, invite participants and save the event to secure your reservation.

Add a Meeting Service

Meeting Services allow you to request services for your meeting when using the add-in to book a space. It includes things like catering or a specific tech setup. The following steps show how to use Meeting Services when booking a meeting with the Teem Chrome Extension.

  1. Access your Google calendar and create a new event.
  2. Click "More Options" to open event details. If you have the "Auto Launch" setting enabled, the plugin will automatically open. If not, click on the blue Teem icon to the right of the meeting details screen.
  3. Teem will display the available resources for the time frame specified in the appointment window. Select a space. 
  4. If the space has Meeting Services set up, they will appear on the space details screen. If you click on a Meeting service, the space will automatically add to your event and you will then be prompted to fill out any extra information about the service you need.

5. Details of the Meeting Service will show up and is determined by what your admin has set up for that space. Add any details for the meeting service you require and click "Add to Event". You'll see a guest with the name of the meeting service. This is what will trigger creating the Meeting Request to your Office Manager or person responsible for the request.

6. When you save the event, you'll be asked if you want to invite "external guests" make sure to say "yes" as this will send the Meeting Service request to the Teem Admin tools. 

You'll get a confirmation email indicating the meeting request has been created. The service contact will also receive an email notification.

Note that an admin can restrict Meeting Services by location, so not every service may be available for the space you select. 

Invite and Pre-register a Visitors to an Event

This feature is only available for customers with LobbyConnect set up on their Teem account. This feature helps organizers pre-register their guest when visiting your company so that when they arrive at the lobby, their check in process is a faster experience. 

  1. Create a new event in your Google Calendar and add a meeting participant who outside of your organization. 
  2. Teem will register this person as a "Guest" and will add a blue button in the Guest Section of the Google Meeting details. It will also show a blue icon in the Guests section of the Teem Chrome Extension.

3. Click on the Guest tab in the plugin. 

4. If you want to pre-register your guest, select the check box next to their name. Then click next. 

5. This will show you that guest's information. You can specify their visit purpose, their host, and their check in location. 

6. Select "Send email invitation" if you want this guest to receive an email with their visit details. Add a custom note if needed. Click Done.

7. When you save the meeting, an invite will go out to your guest and to LobbyConnect with information about their visit.
